Apply multiple actions using asset macros

Using macro, you can take an action or a set of actions on entities which help to automate tasks & reduce manual efforts. You can apply Asset macros on assets to take multiple actions on an asset the same way you can with other entity types. This article helps you with the steps to apply multiple actions using asset macros.

Steps To Add An Asset Macro

  1. Click the New tab icon Space Add New Tab Icon Under Platform Modules, select All Settings within Platform Setup.

  2. In the Platform Settings window, click Manage Workspace in the left pane and search or select Macros from the right pane.

  3. In the top-right corner of the Macros window, click Create Macro.

  4. On the Create Macro window, within Basic Information, enter the desired macro Name and Description.

  5. Under the Apply macro on section, select DAM Asset as the entity from the drop-down menu.

  6. Check the Ask user for confirmation before applying this macro box, if you want to reconfirm conditions when the macro is applied.

  7. In the Create Macro window, within Set Actions, select and set actions on your macro from the drop-down menu under Automated Actions and Manual Inputs.

  8. Click Add new Automated Action/ Manual Input if you wish to add additional conditions.

    Note:

    Automated Actions - Actions selected under the automated actions will be taken by default whenever a Macro is applied.

    Manual Actions - You will be asked to add/edit selected inputs whenever a Macro is applied.

  9. In the Create Macro window, within Related Macros, add Related Macros, which can be used to apply another macro to assets associated with the parent content.

  10. Click Add new Related Asset to add a related Macro.

  11. In the Create Macro window, within Share this macro across workspaces, select your visibility preferences:

    Checking the Visible in all workspaces box will allow visibility for all users across the Workspaces.

    Selecting Workspace(s) from the drop-down menu will allow visibility for all users within the specified Workspace(s).

    Selecting User(s) from the drop-down menu will allow visibility for only the specified user(s) or user group(s) if applicable.

  12. Click Save in the bottom-right corner to save your Macro.

Set a date after which the asset will be available for users to use.

Associate a Campaign to the asset.

Set Sub-Campaign

Associate a Sub-Campaign to the asset.

Set Expiration Time

Set a date after which the asset will be unavailable for users to use. 

Set Never Expire

Set the asset to never expire. 

Set Restricted

Set whether or not the asset is restricted for use.

Set Status of Asset

  • Draft - The asset is in a draft state and cannot be used within the platform. Set the status to Approved to use the asset.

  • Approved - The asset is approved to be used within the platform.

  • Expired - The asset has expired and it cannot be used anymore.

Add a specified tag to the asset.

Set Canned Response

Associate a Canned Response to the asset.

Set User visibility

Select user(s) you want to share the visibility of the asset with. 

Set User Group visibility

Select the user group(s) you want to share the visibility of the asset with. 

Set Workspace visibility

Select workspace(s) you want to share the visibility of the asset with. 

Set Workspace Group visibility

Select workspace group(s) you want to share the visibility of the asset with. 

Remove User visibility

Select user(s) you do not want to share the visibility of the asset with. 

Remove User Group visibility

Select user group(s) you do not want to share the visibility of the asset with. 

Remove Workspace visibility

Select workspace(s) you do not want to share the visibility of the asset with. 

Remove Workspace Group visibility

Select workspace group(s) you do not want to share the visibility of the asset with. 

Merge User visibility

Select user(s) to add to the existing shared visibility configuration of the asset.

Merge User Group visibility

Select user group(s) to add to the existing shared visibility configuration of the asset.

Merge Workspace visibility

Select workspace(s) to add to the existing shared visibility configuration of the asset.

Merge Workspace Group visibility

Select workspace group(s) to add to the existing shared visibility configuration of the asset.

Note:

When you add an Asset Macro, you will find Asset Manager Asset-specific actions available and can only be applied to an asset. Be sure to select DAM Asset as the entity from the drop-down menu under Apply macro on.
