Task approval via email for external users

Manage and update task status via email without logging into Sprinklr.

External Users who do not have an account with Sprinklr can take action on tasks via emails without logging in on the Sprinklr platform. Once assigned with tasks via workflow engine or manually, the external users will receive emails along with the required actions to update task status with Approved, Rejected, Completed, etc. They can view basic task details, such as Task Name and Description, Task Type, Due Date, Status, Task Queue, and Task Asset Details.

While viewing Task Email Notifications, you can access the associated entities as an Export via a link. For example, you will get a link for the Message Export in the Task Email Notification instead of the post or message URL which redirects you to the platform. This enables you to view and analyze the associated entities' content without logging into Sprinklr.

Note:

You can Download Media Assets from the link sent in email notifications for tasks.

For an external user who does not have access to Sprinklr, clicking the entity link will download the entity.

Note:

  • This capability is only for tasks and not for tiered approvals.

  • Now, the Task and Outbound Email Notification links can be configured to open in the Production tab of the specific Campaign the outbound message is associated with. This is extremely relevant for users who work from the Production Tab of the Campaign.

To approve tasks via emails

Within Sprinklr, you can create tasks on Outbound Messages, Assets, Campaigns, and Sub-Campaigns.

  • For tasks associated with Outbound Messages, you can view Message Name, Preview, Channel, Account, and Previous Notes

  • For tasks associated with Assets, you can view Asset Name, Asset Type - Photo, GIF, or Video, and PreviousNotes.

  • For tasks associated with Campaigns/Sub-Campaigns, you can view Name, Description, Start & End Date, and Previous Notes.

Here we are providing an example of approving tasks associated with Outbound Messages. You can perform the same steps to approve tasks associated with other entities. 

  1. Click the New Tab icon Space Add New Tab Icon. Under the Sprinklr Marketing tab, click Editorial Calendar within Plan

  2. On the Editorial Calendar window, click the Options icon  on any message, irrespective of its status in any view (except Year and Quarter views). Select Open in Publisher.

  3. In the top right corner of the Expanded Publisher window, click the Collaboration icon 

  4. On the CollaborationPane, click the Tasks tab. For more information, see Create a Task from the Message Collaboration Tasks Tab.

Note:

You can take similar actions on tasks from the Third Pane of the associated entities as well. Tasks Third Pane can be opened from the associated Campaigns, Sub-Campaigns, Outbound Messages, Assets, and Tasks tab within the Production Dashboard. For more information, see Task Third Pane.

After the task is assigned, you will receive an email notification where you can mark it as Completed, ClosedApprovedRejected, Cancelled, or Invalid. it. You will also be able to reply and add comments (stating the reason for rejection or approval) via Email. The Email notification for task approval associated with an outbound message will look like as shown below.
