How to Create Alerts for User Permission Changes

Sprinklr’s Alert Manager provides a centralized solution for creating and managing all your alerts. You can now use it to define and trigger alerts whenever changes are made to users, user groups, or roles that affect user permissions.
This feature allows provisioned users to set up alerts that send email notifications to track any changes in users' permissions in real-time for security and audit purposes. In this article, we will explore the scenarios that trigger alert notifications and how to create these alerts.
Scenarios that Trigger User Permission Change Alerts:
Role Assignment: An alert is triggered when a user is assigned a new role, granting them new permissions. This can occur either through the User Edit Page or the Role Edit Page.
Role Unassignment: An alert is triggered when a user’s role is removed, leading to the removal of associated permissions. This action can happen on the User Edit Page or the Role Edit Page.
Role Update: An alert is triggered when the permissions of a role assigned to a user are updated, which can affect the permissions that the user has.
Role Deletion: An alert is triggered when a role assigned to a user is deleted, resulting in the removal of the permissions granted by that role.
New User Group Assignment: An alert is triggered when a user is added to a new user group, thereby granting them additional permissions associated with that group.
User Group Unassignment: An alert is triggered when a user is removed from a user group, leading to the loss of the permissions granted through that group.
User Group Deletion: An alert is triggered when a user group is deleted, causing the user to lose all permissions granted by that group.
Note: Alerts won't be triggered when User Type field of the user is updated even though it might lead to changes in accessing certain platform areas to the user without changes in user's permissions.
To Create Alerts for Changes in User Permissions
Access Alert Manager:
Open a new tab and scroll down to Platform Modules.
Click Alert Manager under Mitigate Brand Crisis to view all existing alerts.
Create a New Alert:
In the Alert Manager record, click +New Alert in the top right corner of the screen.
In the Create Smart Alert screen, enter your Alert Name. You can also add an optional Description and Tags.
Configure the Alert:
Click the Module field and select Platform Governance from the dropdown.
Choose User Permissions Updated as your Alert Type.
To refine your alert, add additional filters under Alert Dimension Filters.
Click Select Filter and choose from the following options:
Client: Specify the workspace to receive alerts when roles or permissions change within that workspace.
User: Specify individual users to receive notifications when changes are made to their permissions.
User Group: Specify user groups to receive notifications when changes are made to the permissions of users within that group.
Click +Add New Filter to add more filters as needed.
Set Alert Frequency (Recommended):
Click on the Maximum Alerts field to define the maximum number of alerts you want to receive within a specific time period. This helps avoid spam from bulk updates to user permissions.
Click on the Duration field to specify the time frame within which you want to receive the defined number of alerts.
Permissions:
In the Permissions section, select the user(s) or user group(s) who will have permission to view and edit the alert.
Alert Distribution:
Click Next at the bottom to enter the Alert Distribution Details.
Click Select Users/User Groups to add users who will receive email notifications when the alert is triggered.
In the E-mail Address for External Users field, enter the email addresses of users who do not have access to the Sprinklr platform.
The Email Notification checkbox will be selected by default and cannot be changed, as all alerts are sent via email.
Optionally, check Customize Mailing Details to add a custom Subject Line and Sender Email Address for the alert notifications.
Click Save in the bottom right corner to save your alert and go back to the Alert Manager record.
By following these steps, you can effectively set up alerts for changes in user permissions, ensuring real-time tracking and improved security.
