Consent Withdrawal Cases

The Consent Withdrawal Cases section of under Privacy was created to comply with Data Subject's right to Opt Out as defined under GDPR. The process of 'opting out' takes place in multiple formats on various sites and types of marketing, most likely outside of Sprinklr. For example, most email marketing provides an option at the bottom of the email to opt-out of receiving future emails. Similar to this, social channels also offer various ways of opting out, such as Twitter's option for receiving Direct Messages from anyone, and Facebook's ad preference settings. 

Navigate to Consent Withdrawal Cases

  1. Click the New Tab icon Screen Shot 2017-09-25 at 1.52.25 PM.png . Click Consent Withdrawal Cases under Privacy.

  2. To create a case, click Create New Consent Withdrawal Case in the top right corner. The mandatory fields that must be applied are within the first section, there are some optional fields beyond that.
  3. Once you've entered data into the necessary fields, select Create Case.

3 Channel Name Select the source from which the Data Subject's details exist within Sprinklr (ex. Twitter)
4 Profile Identifier

The numeric ID or handle. For channels like Twitter or Instagram where handles exist, you can use the handles. If using an email address here, enter the email as is (ex. user@sprinklr.com)

For example, to get all the data for the Sprinklr profile on Twitter (twitter.com/sprinklr), you can use sprinklr or 75263523 here. (75263523 is the numeric ID for the Sprinklr profile on Twitter, which can be found on this site.)

Applying the Privacy Workflow

Once the Case has been created, double-click the case to see the details and apply the Workflow. The default Privacy WorkflowDefault GDPR Consent Withdrawal Process has been applied to this Case. Select Tasks to view the various steps of the Workflow. 

Note:

If you have edited and updated the Default Workflow, the actions that you set will be applied to this Case. In the example below, the Default Workflow has not been edited, actions are applied at the Task level.

  1. The first Task is the Consent Withdrawal Request Approval. Once this Task is assigned, approved and the status is updated to Completed, the system will locate the Data Subject's profile information. Selecting Refresh will then show the next Task.

  2. The next Task is the Consent Withdrawal. To do this, select the Task title, Please take necessary action on the consent withdrawal for the user

  3. You will then notice an option in the top left corner of the task, where you can select Withdraw Consent

  4. You may then select View Profile, and you will notice the user has been added to the Global Profile List, GDPR Opted Out Users

  5. Once this has been Completed, update the Task to Complete. After this, you may choose to update the Case's Status and/or Archive it, among other Case actions which can be found by hovering over the Options Icon Space_Icon_More_Options.png to the left of each Case.

  6. There are some additional steps that can be taken to ensure that the Data Subject is removed from other areas of Sprinklr. To ensure the Data Subject's are removed from Sprinklr Listening topics, you will want to add the GDPR Opted Out Users Profile List to your Listening Blacklist. This will ensure that the users are never pulled into your Listening results. The profile list is automatically excluded from Paid Advertising audiences. You may also create Profile Properties in addition to the Profile List and choose to exclude the withdrawn data subjects from your Engagement Workflows, as desired.
